1. Agreement to terms
These Terms & Conditions (“Terms”) govern access to and use of the Scan platform, including the website, admin dashboard, APIs, and company mobile application. By registering for an event, creating a company staff account, or using Scan, you agree to these Terms.
2. About Scan
Scan is an event technology service that:
- Stores attendee registrations with a unique UUID.
- Provides company staff accounts for exhibitor teams.
- Allows authorized staff to scan attendee QR codes (UUID only) and save those attendees to their company.
- Lets each company view and export only the attendees it has scanned.
- Gives administrators tools to manage companies, users, registrations, and scan activity.
3. Accounts and eligibility
- Company staff accounts are issued by platform administrators for active companies only.
- You must provide accurate information and keep credentials confidential.
- You are responsible for activity performed under your account, including scans.
- We may suspend inactive, abusive, or unauthorized accounts.
4. Attendee registration
Attendees may register through connected registration systems or imports. By registering, you confirm that the information you provide is accurate and that you consent to exhibitor companies scanning your UUID at the event and receiving your shared profile details for legitimate business follow-up related to the event.
5. Company scanning rules
- Scanning is permitted only for authorized staff of active companies.
- QR content is expected to contain the attendee UUID only.
- A successful scan links the attendee to your company and records which staff member performed the scan.
- If a UUID does not exist in the registration database, the scan will fail.
- Companies must use scanned data lawfully, respectfully, and only for event-related professional purposes.
- Companies must not attempt to access another company’s scanned leads.
6. Acceptable use
You agree not to:
- Misuse the APIs, attempt unauthorized access, or disrupt the service.
- Upload malicious files or scrape data beyond your authorized company scope.
- Use Scan to spam, harass, or unlawfully process personal data.
- Reverse engineer or resell the platform without written permission.
7. Intellectual property
Scan branding, software, and documentation remain our property or that of our licensors. You receive a limited, non-exclusive right to use the service as provided for your event role.
8. Data and privacy
Personal data is handled as described in our Privacy Policy. Company users must also comply with applicable data protection laws when contacting scanned attendees.
9. Service availability
We aim for reliable availability during events but do not guarantee uninterrupted service. Maintenance, connectivity issues, or force majeure may affect scanning or API access.
10. Disclaimer and limitation of liability
Scan is provided on an “as available” basis. To the fullest extent permitted by law, we are not liable for indirect, incidental, or consequential damages, lost leads, or business interruption arising from use of the platform. Our total liability for any claim relating to the service is limited to fees paid (if any) for the service in the three months before the claim, or SAR 500 if no fees apply.
11. Changes
We may update these Terms. Continued use after an update constitutes acceptance. Material changes may be highlighted on the website or communicated to administrators.
